Background
Since launching in 2009 as a Registered Training Organisation, Baseline Training has continually expanded and now has 18,000 participants coming through its doors annually. Baseline Training is a part of the Corporate Protection Australia Group (CPA) and specialises in accredited and non-accredited training in mining, maritime and critical infrastructure. It has a key focus on quality training, and training courses are delivered by industry experts, ensuring that Baseline Training’s professional development is in line with best practices. These expert’s experience and expertise within the field has ensured Baseline Training is the service provider of choice for safety and emergency manpower related training.
Currently Baseline Training’s most popular courses are ‘Working at Heights’, ‘Working in Confined Spaces’ and multiple ‘First Aid’ training options. Baseline Training has also recently extended its course offerings to include Certificate II & III in Security Operations, Certificate II in Emergency Medical Service First Response, Certificate III in Mine Emergency Response and Rescue, Certificate IV in Health Care (Ambulance) and the Diploma of Work Health and Safety. While Baseline Training have consistently delivered training across Australia, it has recently expanded its scope of delivery to include Papua New Guinea, Nauru, Malaysia and Singapore.
Because of Baseline Training’s geographical expansion, the company was in need of a mechanism that allowed trainers to access student’s data from any location. Furthermore, due to the increasing number of accredited and non-accredited courses Baseline Training was offering, a process was needed to streamline and maintain the organisation’s everyday administration and compliance requirements. This included the ability to integrate with their financial platform in order to simplify the process of sending invoices and transactions within the multiple Baseline locations. This need for a comprehensive student management system led Baseline Training to aXcelerate.
Solutions
Due to the size and capability of the system, the biggest challenge faced by Baseline Training was the actual implementation of the new system and incorporating it into Baseline Training’s business operations. To ensure the implementation process was as effective as possible, Baseline Training utilised the support options available to all new aXcelerate clients, including free ongoing support and face-to-face and web-based training. This allowed Baseline Training to pursue a number of enhancements to their systems in the safe knowledge that any technical hiccups would be addressed by aXcelerate’s extensive support team.
To satisfy requirements, Baseline Training have utilised aXcelerate’s ability to create a training matrix, which helps streamline the process of allocating trainers — especially those that need to be interstate or at Baseline Training’s international hubs. Because aXcelerate is a cloud-based system, this matrix can be accessed anywhere at any time via the internet.
For most RTOs, invoicing students – accurately and efficiently – can present some difficulties. Baseline Training now choose to rely on the ‘financial tools’ offered within aXcelerate. These finance tools enable Baseline Training to send invoices to any contact within the system and handle multiple invoices at the one time, which has greatly improved the accuracy of their finance reporting. Furthermore, aXcelerate’s ‘finance integration’ feature has allowed all financial details entered into aXcelerate, to be fed through to Baseline Training’s accounting platform Xero, and vice versa. This has eliminated the need for double handling and consequently, has significantly decreased the amount of time that staff spend going through financial data.
In addition to aXcelerate’s financial features, the system also has the capacity to create and send post-course evaluations, reducing the time and effort involved in creating client reports at the end of each month. Further, the report builder tool – and specifically it’s multiple field inputs – has helped to increase the overall accuracy of Baseline Training’s compliance reporting.
Looking to the future
The next focus for Baseline Training is to integrate aXcelerate with their website to allow for online enrolments. Baseline Training is also hoping to develop further custom fields within the finance system, in order to make their finance reporting as comprehensive as possible. aXcelerate are currently working closely with both Baseline Training and their third party providers to ensure these goals are achieved. These additional features will help cater for Baseline Training’s growing demand and ensure that trainers can continue to deliver the quality and expert training that has differentiated them from other training providers for so long.
