Asset Training Australia made the switch to aXcelerate’s student management system after they discovered that their growing business and the tightening of government requirements, had outgrown the capability of their previous systems. Since partnering with aXcelerate, Asset Training Australia has been able to use their cloud-based database to ensure student and course data is accessible for all staff, across all locations and to keep up to date with their compliance and training delivery needs.

Background

Asset Training Australia has undergone many changes since it’s small beginnings as a family business 10 years ago. What started out as a predominant focus on training in security, traffic control and firearms, has expanded and evolved to cater to a growing and diverse student base. Asset Training Australia now includes multiple qualifications ranging from short courses right up to Post-Graduate Qualifications, through to Recognition of Prior Learning (RPL).

Their most popular courses include Security Operations, Justice of the Peace (Qualified) and Firearms. Individuals usually enrol in these courses to gain employment, further their career options or to fulfil a requirement of their current job. Because of this, Asset Training Australia focused on providing a number of support options and resources including hands-on training and establishing an RPL process which requires limited administration work for students.     

Asset Training Australia also has an established network of Training Partners, which allows them to extend their reach to students and allow their training to be more accessible. This program ensures Asset Training Australia can continue to provide a broad range of industry expertise and increase the shared resources available to their students. These training partners deliver only a selection of Asset Training Australia’s courses within their field of expertise and do this under their own business name.

When Asset Training Australia began expanding their course offerings and established their Training Partners program, they had difficulty keeping track of all the different training options now delivered across multiple locations. The organisation realised the student management system they already possessed as well as their in-house database, was no longer capable of effectively keeping track of all their business activities.

Asset Training Australia needed a central location where their varied business activities could be easily monitored and stored, especially information relating to student enrolments. This need became pressing when AVETMISS reporting was announced as a mandatory requirement for RTOs. Staff were suddenly spending a significant amount of time manually tracking and recording relevant student information from a myriad of platforms.

Consequently, Asset Training Australia decided to switch to aXcelerate’s cloud-based student management system in order to better cater to their business requirements and improve overall efficiency.

Solutions

When commencing their implementation with aXcelerate, Asset Training Australia outlined two key priorities. The first was to centralise all information related to their multiple course offerings and consequently reduce the administration time when storing and updating this information. The second was to ensure that they were maintaining compliance when doing their AVETMISS reporting and make the overall process less arduous and time intensive.

While implementing aXcelerate first appeared to be a daunting and overwhelming task, once Asset Training Australia presented aXcelerate with their two key requirements, the setup process was relatively painless. Both the developers, trainers and support team at aXcelerate worked together with Asset Training Australia to identify the features that would best cater to their needs.

Because the aXcelerate database is cloud-based, Asset Training Australia staff members can access relevant information at any time and from any location. This has significantly reduced the administration time involved in tracking down student data for various reporting requirements. Furthermore, staff have begun to utilise aXcelerate’s workflow automation feature, in order to create simple tasks that aXcelerate can then perform automatically for staff. For example, Asset Training Australia can create tasks for a mass SMS message to be sent to a class automatically or certificates to be issued automatically to graduating students at the end of a qualification. Staff are still developing this feature further, in order to implement it in more of their business processes but have already noticed an increase in efficiency when using it to perform student administration tasks.

Asset Training Australia has also been able to utilise aXcelerate’s USI verification and report building features, which both provide automated guidance when errors relating to the USI or AVETMISS reporting have been made. These notifications greatly assist in Asset Training Australia keeping on top of their reporting requirements and maintaining compliance.

Looking to the future

Asset Training Australia has also worked closely with the aXcelerate team on developing some integrations, in order to cater to their specific business needs. Currently, they have utilised an integration between themselves, aXcelerate and a third party called Cloud Assess ( which allows RTOs to create, conduct and control their assessments). This integration allows all assessment tools, created in Cloud Assess, to then be fed through to aXcelerate and thus reduces the need for manual data entry.

Over the coming years, Asset Training Australia would love to develop this integration even further, as well as utilising more of aXcelerate’s API and integration options. This includes the development of a learner portal and the enhancement of their user interface in order to make it more intuitive for staff. These ongoing developments will ensure Asset Training Australia can continue their focus on delivering quality training, while spending less time and energy on the administration work involved.
